Real Estate Transaction Coordination Services

Service Summary: To provide a full on file management system that will facilitate a timely closing, while at the same time overlooking that transactions are in compliance with governmental agency regulations and disclosure laws. Clients will be able to access their files 24/7 through RELAY online transaction management. At the end of the transaction the agent will receive an organized hard copy file along with a cd copy.

Process Outline:

  • Obtain and review the offer to purchase agreement as negotiated between the buyer and seller. Ensure that all parties  have signed and initialed the Contract, Addendums and Counter Offers.
  • Prepare a Contact Management Sheet on RELAY, upload all documents and set up user accounts for both the listing and selling agent, so they can obtain access to the file 24/7.
  • Prepare the Seller Disclosure Package for Seller to complete. Review for completeness upon the return by Seller.
  • Open escrow and obtain the file number. Instruct buyer's agent on where to deliver the earnest deposit. Review the draft escrow instructions before sent to the buyer or seller.
  • Send to the buyer’s/listing agent any disclosures or other documents for signature and return. Once returned, review the documents for completeness and all required signatures.
  • Order the Natural Hazard Report, Home Warranty Policy, and Termite Inspection if required. Distribute copies to all parties involved.
  • Request the buyer’s agent to order a home inspection, or else provide a waiver if one is not desired. 
  • Follow up with escrow to ensure that the buyer has deposited the earnest deposit check.
  • Regular follow up with the buyer’s agent and buyer’s lender to find out the status of the loan progress.
  • Follow up weekly on missing paperwork from both the listing and selling agent.
  • Verify prior to closing that all repairs are complete and loan conditions have been satisfied so that there are no outstanding issues that could delay closing. Prepare any documentation to extend closing dates, contingency removals, or enforce deadlines
  • Before the scheduled closing, ensure that the loan documents have been signed by the buyer and their closing funds have been delivered to escrow.
  • Prior to closing reveiw entire file to ensure that all required disclosures, inspections and escrow paperwork is intact.
